When and why we collect your data and for how long we store it

Cheshire Community Action aims to give Cheshire communities a stronger voice by engaging and supporting them to influence the places, spaces and services that are important to them. We provide support for managing and improving community buildings and facilities, accessing services for health and wellbeing, and providing advice on neighbourhood planning, housing needs and community housing projects. Retaining information about your organisation will help us do this.

Below is a record of when we collect your data, what we collect, why and how long we hold the data for. We must have a lawful basis for processing your personal data. In most instances this will be where we are fulfilling a service or where we are responding to an online enquiry.

Who we share data with

Specific details of community building members (listed above) will be shared via our website building directory for the purposes of promoting the venues. No other data will be shared with any third parties unless we have explicit consent.

How we store and protect data

We will document your consent electronically and securely retain your information at our offices until you withdraw consent or if you have joined as a member, until your membership period runs out.  Cheshire Community Action servers are secure and password protected with limited internal access.

Use of SurveyMonkey

As part of our community development initiatives, Cheshire Community Action may use SurveyMonkey to gather feedback, opinions, and information from our community members, volunteers, and stakeholders. This helps us better understand the needs of the community and improve the services we provide. We also use SurveyMonkey to collect data on behalf of clients to collect responses to surveys that meet their requirements including: Parish Councils, community groups, local authorities, housing associations and other private sector organisations. SurveyMonkey is a third-party platform, and when you participate in our surveys, your personal data may be collected, processed, and stored in accordance with SurveyMonkey’s privacy policy, as well as Cheshire Community Action’s commitment to safeguarding your privacy.

What Personal Data We Collect on SurveyMonkey

When you complete a survey, we may collect the following data  :

  • Basic identification information: e.g., name, contact details, demographic data (where requested)

  • Survey responses: Your feedback, opinions, and other information you provide

  • IP address and device information: Automatically collected by SurveyMonkey for security and analytics purposes

How We Use Your Data on SurveyMonkey

We use your survey responses to inform:

  • Community engagement exercises

  • Consultations to influence changes in services

  • Needs surveys both for housing developments and community issues

  • Report on the impact of our charity’s work

Data Sharing and Retention on SurveyMonkey

  • Third-party processor: SurveyMonkey processes data on our behalf and is compliant with relevant UK and EU data protection laws, including the General Data Protection Regulation (GDPR).

  • Retention period: We will retain your survey data only for as long as necessary to fulfil the purposes outlined in this notice, after which it will be securely deleted.

Your rights
